Privacy Policy

ClientFlow ("we", "us") provides client management and invoicing software for freelancers, consultants, and agencies. This policy explains what data we collect, why, and how you can control it.

What we collect

To run your account, we store:

  • Account details — name, email, password hash, and organization info you provide at signup.
  • Client and business data you enter — client profiles, projects, payments, invoices, and notes.
  • Billing status — your plan, trial dates, and subscription state. We do not store card numbers; payment processing (where used) is handled by our billing provider.
  • Integration tokens — if you connect QuickBooks, we store encrypted OAuth tokens scoped to your organization.
  • Usage data — basic request logs and rate-limit counters used to keep the service reliable and secure.

How we use it

We use your data to operate the product: rendering your dashboard, generating invoices, sending reminder and reset emails, syncing with QuickBooks when you opt in, and producing AI drafts (invoice text, follow-up emails, contract summaries) on Pro plans. AI drafts are generated by sending the relevant prompt — not your full client database — to our AI provider for that single request.

Data isolation

ClientFlow is multi-tenant: every organization's clients, payments, and projects are scoped to that organization and are not visible to other organizations.

Sharing

We do not sell your data. We share data only with:

  • Infrastructure providers that host the app and database (Supabase, Vercel).
  • Email delivery for transactional messages like password resets and overdue reminders.
  • QuickBooks, only if and when you explicitly connect your account.
  • Our AI provider, limited to the specific text needed to generate a requested draft.

Retention and deletion

Your data is retained for as long as your account is active. You can permanently delete your clients, payments, and projects at any time from Settings, or request full account deletion by contacting us.

Your rights

You can access, correct, export (CSV), or delete your data directly from the app, or by emailing us at hello@clientflowapp.xyz.

Changes

If we make material changes to this policy, we'll update the date above and, where appropriate, notify you by email.
